Documentation and Charting Guidelines as an Independent Contractor

When you book a shift through Medely, you’re entering into a direct contractual agreement with the facility to perform the requested services. Part of fulfilling that agreement may include accurate and timely completion of charting or documentation requirements in accordance with facility guidelines. Documentation plays a key role in patient care, communication, and compliance — and it’s considered a standard part of your shift responsibilities.

Failure to complete required documentation may result in delays in payment and your account being paused, affecting your ability to continue booking shifts through the platform until all documentation is completed in full. As an independent contractor, payment is contingent upon the successful completion of all shift responsibilities, which includes any required documentation per facility guidelines.


Why Documentation Matters

Documentation is not only a critical aspect of quality care and compliance within medical settings, but it also helps ensure that facilities remain aligned with clinical standards and regulatory expectations.

Proper documentation contributes to:

  • Continuity of care for patients

  • Accurate record-keeping for the facility

  • Compliance with facility protocols and external regulations

  • Minimizing risks and liability for all parties involved

Incomplete documentation may:

  • Delay patient care

  • Violate facility compliance standards

  • Impact your ability to continue booking shifts through Medely

Your Responsibilities

Per Section 3(b) of our Terms of Service, when you accept a request on the Medely platform, you are agreeing to fulfill the request in its entirety, which includes completing all clinical and administrative tasks required by the facility—such as charting and documentation.

While facilities are responsible for providing access to the tools, systems, and protocols needed to complete your work, it’s your responsibility to:

  • Ask about charting tools and access at the start of your shift

  • Confirm any unit-specific documentation procedures

  • Clarify expectations with the supervisor, especially if unsure


Can’t Complete Documentation?

If you're unable to complete documentation due to lack of access, tools, or time, please follow these steps:

  • Notify the facility supervisor immediately before the end of your shift.

  • Document the steps you took to resolve the issue.

  • Report the issue to Medely by completing an Irregular Occurrence Form so we can document the concern.
